The KOST Web-Portal

  • The KOST Web-Portal comes into practice when multiple web applications (conference services, web shops, menu preordering, guest services) are in operation.
  • The user can log on to the portal and then access all the services that they have been authorized for.
  • Registration is via username and password assigned in KOST. User name and password are authenticated via LDAP (Windows © or Novel © User Management), if registration using company assigned credentials is required.


  • The web-based hospitality tool can used to process transactions, such as visits to the company restaurant, including relevant billing data – only without item details.
  • A coupon with a unique order number is generated. The services provided are assigned via the POS directly to the specific transaction. Invoices are generated as with the conference service.
  • Customer cards can be assigned to an individual person and used in combination with the POS system.

Conference Service

  • Venue availability can be checked via the venue reservation module, by logging on and entering date, time, location and number of guests.
  • If the venue is available, the user (client) then enters the required billing data. The client subsequently chooses the host, clearing method (cost center, WBS element, internal order with automatic validity check) and general account (account to which the service is to be assigned in SAP®).
  • The selected account defines whether external participants may also attend the function.
  • The list of participants can be entered directly into the Web portal or uploaded via an MS Excel® file.
  • If the customer only requires delivery (without venue reservation), he can enter location, building and room number.
  • On choosing the venue, the items and services available at that venue are displayed.
  • After selection the customer (client) receives an order confirmation.
  • Orders are displayed in KOST in the order mask and can be edited or adjusted as necessary.
  • Various reports are available.
  • On dispatching a delivery note is created.
  • Reorders are also assigned to the order.
  • On finalization, an electronic hospitality confirmation note is generated by the system; this can be confirmed using a signature pad or by username and password.
  • Electronic hospitality confirmation notes can be printed out, automatically saved as a PDF in a directory or accessed at any time out of the database with the actual values from the database.
  • Invoices are generated in the KOST customer management module. The customer can view all orders via the Web application.
  • Invoices with all relevant accounting details can be passed on to SAP®.
  • Information relevant for income tax statements is sent to the participants payroll account in SAP®.

WEB Shop

  • The WEB shop can be used to display all types of offers.
  • Departments and customers can view offers and place subsequent orders, depending on user rights.
  • Invoices are cleared internally or via wage and salary payments.

Menu Ordering

  • KOST’s web-based menu ordering system offers a complete solution for managing menu ordering, starting from displaying menu sheets through to placing orders, processing and food preparation.
  • Customers log onto the ordering system using username and password (LDAP registration is also possible). Employee ID cards can also be used to log on via touch terminals.
  • Menus or individual components can be selected.
  • Pictures, a detailed product description, nutritional data and information on portion size, price etc. can be displayed.
  • Orders can be displayed on monitors at the counter and prepared accordingly.
